If you operate your own business or are part of a working group inside a bigger corporation, you will most likely want a place to interact and collaborate with others both inside and outside your firm. Yet, you do not have to pay for expensive collaboration technologies such as Office 365 or SharePoint because Microsoft Teams is free to use.
You receive unlimited chats, audio and video calls, and 10GB of file storage for your whole team, plus 2GB of personal storage for each user, with the free version of Microsoft Teams. Microsoft Teams works with all online office programs and over 140 business apps. Add up to 299 contacts to your network, who can be from inside or outside your business.
Please keep in mind that the free edition of Microsoft Teams is only available to individuals who do not have a paid commercial Office 365 subscription. Subscribers to Office 365 who attempt to sign up for Teams are routed to a managed account for their current subscription. Users who do not have an Office 365 subscription and do not have a Teams license can join up for a free one-year trial.
Set Up Microsoft Teams
You will need a Microsoft account to set up Teams. To get started, go to the Microsoft Teams website and click the Sign up for free option. Enter the login for the account you want to use and specify whether you want to use Teams for school, friends and family, or work and organizations.
Enter your password and confirm your name, company name, and other relevant data. Next, under the Teams tab, click the Set up Teams option. Next you’re asked if you want to utilize the Teams app or the web app. The Teams web app is sufficient for the most of the basic functionality, but you will need to install the desktop program to fully utilize the service.
If you didn’t download it during the first setup, you can get it from the Download Teams page. You can also download the mobile version of Microsoft Teams Android, which has many of the same features as the desktop software and allows you to communicate with others while you’re on the road.
Inviting Members
Confirm your Teams organization name and click Proceed on the Welcome page. You can select from a range of tasks on the main screen, but your first action should be to invite others to join your team.
In the left-hand sidebar, click the Invite People link. Then you may invite others via a shared link, your own email contact list, or a direct email. Choose your desired choice.
Let’s look at email as an example. By entering their email addresses, you can invite individuals to join your team. On the right column, give each individual a display name. If you need additional addresses, click the Add More option. Close the Invites window by clicking Send Invites.
Anyone you invite will receive an email invitation and can join your team by clicking the attached link. Users will then be sent to Microsoft Teams, where they can select a display name and upload a photo.
To access Microsoft Teams applications, follow these steps:
Open the app by using the Start button, then navigate through the list of installed apps until you locate Microsoft Teams.If you are already connected to your Microsoft 365 account, you will be directed directly to Teams; click the launch button to begin.When asked, enter your Microsoft 365 login and password.The Microsoft Teams window will now appear:The Microsoft Teams window is divided into four (4) sections. The sidebar, center pane, right pane, and top menu are all visible. These four sections provide you access to the numerous settings available in the software.
Sidebar: The sidebar allows fast access to Microsoft Teams’ key features. You can effortlessly switch between the Activity, Chat, Teams, Calendar, Calls, and Files screens. The sidebar also provides access to the other applications that might be included in your Teams, as well as the Help system.Middle pane: The middle pane displays information about each area of the sidebar. For example, under the Chat area, the middle pane will provide a list of team members with whom you have communicated. You will see a list of the Teams to which you belong in the Teams section.Right pane: The right pane displays the tools associated with each area.Top menu: The top menu bar allows you to access the app launcher, search or command box, and account settings.
