What is scope and scope management?
Scope – In project management scope is something that we need to-determine at the start of the project in order to identify whether the benefits of the product meet the necessities of the partners. product and are these benefits meet the necessities of the partners is known as scope. In this process we go through the three different steps that are – Planning, Controlling and Closing. Project scope is necessary as it is the complete identification of the work that must be done to complete the project successfully. There are several steps that define the scope of the project are as follows –
Project Objectives.
Goals.
Tasks.
Budget of the project.
Resources.
Schedule.
Scope Management – Project Scope management is a procedure to decide the entire strategy of the project for the successful completion of the project. In this procedure projects managers and the other supervisors identify all the work that is necessary to complete for the finished project.
Introduction – Scope and scope management is the process that is used to define the features and functions of the project and how to manage these features and functions from the beginning of the project till the close-out of the project.
Plan Scope Management – This is the process of creating the scope management plan in which all the documents are defined about how the scope of the project will be defined, validated, and controlled. The primary benefit of this process is that it helps to manage the scope of the project throughout the project.
In this process few steps had to be taken to plan scope management plan –
Collect all the project requirements – In this process the project manager documents all the needs of the stakeholder and all the other things that are required for the project by using different tools and techniques.
Make the scope statement - In this process we have to identify all the objectives and goals of the project.
Create WBS – The work breakdown structure is the significant part of the project while planning because in this part we define all the parts of the project step by step that need to be done in the project. WBS plays a crucial role in planning scope management.
Validate Scope – This process usually occurs at the end of the task when our customers give feedback on whether or not the completed work is acceptable.
Control Scope – In this process the project manager and the project team monitor the status of the project and they also manage all the changes that occur in the project scope. This is the last part in the planning scope management.
Why it is necessary?
Project scope management is the important part of the project because it it the first step in creating several required documents that will help us to accomplish the project on time with high quality. At one time managing the expectations of the customers and the stakeholders is the difficult part for the project manager but by making scope management statement he can manage all these things easily because it identifies all the documents about their requirements and needs. It helps project manager to avoid various problems like
It includes all the requirements of the project so there are less chances of conflicts for the deliverables of the project.
Although this process includes the cost or budget of the project due to which they can avoid the over budgeting of the project.
It also includes the schedule of the project so that they will not go behind the schedule and complete their task on time.
It includes the WBS also and by the help of WBS they came to know proper process of the project its convenience for them to complete the project step by step without missing any step.
Techniques to plan scope management – Following are the techniques that are used to plan scope management are as follows –
Planning – This is the first and the most important phase of planning scope management in this phase all the plans, requirements, objectives and deliverables of the project documented. In this part the cost, Schedule, list of deliverables and their delivery dates are also established.
