Basically, what that means is that it allows every person you come into contact with, whether they are a lead, buyer, affiliate, or something else, to be funneled into your CRM. By pulling every relationship into your hub you can then direct the flow of communication back to those people and track every eventual outcome.
The power of Keap’s automation allows you to trigger when information should start or stop flowing, giving you the ability to create deeper conversations that are relevant and timely. Everything you do is logged in the contact record, giving you the documentation you need to manage employees or, should the need arise, to dispute chargebacks.
In this chapter, we will be making ourselves familiar with each area of Keap, how to navigate it, and what functions each area provides:

As of the time of writing, Keap Ultimate does not yet have Google reviews or dedicated phone-line capabilities.
One of the easiest ways to know what version you are using is by taking notice of where the navigation is placed.
Keap Pro and Max are built on the same foundation and therefore everything covered in this book applies to both versions.
Keap Ultimate has a unique foundation and while some content in this book may be helpful, most of the step-by-step instructions will not apply to Ultimate users.
Each individual Keap account has its own app name, usually a series of letters and numbers. When you’re contacting support, working with developers, connecting to external tools, or building an API, you are going to need to know your personal app name.
On the lower left-hand menu, you’ll see a green circle with your initials or your user profile’s avatar. Click to open it and your app name will be located just under your own name.

Important note
As a Keap user, you can upgrade or downgrade your version at any time. Please note that some functionality will be affected by this change. Make sure you’ve weighed all the options before proceeding.
Let’s walk through each section of the navigation, providing detailed insights into the purpose and functionality of key components.
The navigation system in Keap Pro/Max is found in the upper-left corner of your screen and appears in a black box.
Clicking on the arrow just to the right of the K symbol expands the menu further.

When you select a section of the navigation, the relevant section menu will open. Each section menu consists of two regions:
Section menu (top)Related shortcuts (bottom)Related shortcuts are items from other sections that are commonly used in connection with that area you have navigated to.

Here is a list of each section in the navigation:
Home:Dashboard – Displays any reports or data widgets you have.My Checklist – Pre-written automation plays you can use to automate steps in your business. You can also create your own plays.We will cover customizing your Dashboard in more detail in a future chapter.
Contacts:Contacts – Individual leads or customers you’ve addedCompanies – Allows you to view and store company-specific data as well as connect contacts associated with the company to give you a greater view of the organizationGroups – Saved searches that you create based on common features such as tags and lead sourcesRelated shortcuts:Tags relate to contacts because we use them to create lists, a.k.a. groups, with a common attribute. Tags are also useful in automated workflows.Custom fields are user-defined data fields that allow organizations to capture and store specific information that is not included in the standard set of Contact or Company fields provided by Keap.Forms allows you toconnect to your external form tools such as Typeform. You can also build your own custom public and internal forms within Keap. This is the same Forms section that can also be found under the Marketing section.Manage duplicates is an essential tool for keeping your list healthy!My day:Appointments – Integrate your personal calendar and set up your appointment scheduling linksTasks – Assign yourself or others tasks as they relate to contacts moving through your automated systemsCommunications:Business Line – Keap Business Line, accessible in the United States and Canada, is a dedicated phone number for your organization and enables you to link your current mobile device and phone line to your Keap application.Email broadcasts – Send mass emails to specific subsets of contacts using data you’ve collected, tags, purchases, and other important segments of your contacts. This is the same Email broadcasts section that can be found under the Marketing section.Text message broadcasts – Similar to email, this lets you send mass texts based on your defined criteria. This is the same Text message broadcasts section that can also be found under the Marketing section.Related shortcuts:Business profile relates to communications as this profile contains the data people will see about you and your business.Domains allows you to connect your existing subdomains for landing pages and set up email authentication to improve deliverability. This is the same Domains section that can also be found under the Marketing section.SalesSales is an essential area of your CRM. This is where you set up and manage your pipeline to track your potential deals, create your quotes, generate invoices, set up subscriptions, and build checkout forms so that you can automate collecting payments and repeat purchases:
Pipeline – Manage various pipelines, each with its own set of unique stages.Quotes – Generate professional quotes and send them directly to your contacts, allowing them to easily click the Accept Quote button.Invoices – Send professional invoices and track payment status.Recurring payments – Create subscriptions, memberships, and so on.Checkout forms – Begin selling online quickly by taking payments from your website/social media directly through your form. This is the same Checkout forms section that can also be found under the Marketing section.Products – Add products to be sold via forms, quotes, and invoices.Promo codes – Limit discounts by setting specific criteria and requiring a special code.Related shortcuts:Sales settings relates to sales as this is where you set up your currency, payment processor, and sales tax. These are critical steps to take before you can create invoices and collect funds.Marketing:Forms – Connect to your external form tools such as Typeform or build your own custom form within KeapLanding pages – Create a custom page (or use one of the many templates) to capture leadsRelated shortcuts:Email broadcastsText message broadcastsCheckout formsDomainsContent Assistant is an AI-driven feature that helps you write content for various assets based on your specific organization and target personas, such as lead magnets and consultsAutomation:Keap comes with many templates as well as an advanced automation builder. Understanding the navigation is pivotal for you to leverage the full potential of Keap and enables you to manage contacts, execute sales and marketing strategies, implement automation, generate reports, and access support resources with confidence and proficiency.
Your Keap dashboard serves as a centralized hub that provides a visual representation of key metrics and data related to your business’s interactions with its customers and leads. In essence, it is a snapshot of your day.
Let’s begin digging a little deeper into your CRM. When you first open Keap, you will land on your dashboard. This offers a snapshot of what’s going on in your business:
The dashboard shows you how many contacts you have both in total and also broken down into various date rangesIt displays relevant sales data including repeat clients, sales, and pending quotesYou can manage your daily activities such as tasks and appointments here tooFigure 1.4 – Dashboard overview
By incorporating your Keap dashboard into your daily routine, you create a centralized command center that empowers you to stay organized, make informed decisions, and proactively manage your tasks, funnels, leads, and cash flow. This daily practice enhances efficiency, promotes accountability, and contributes to the overall success of your business.
Moreover, Keap’s customizable dashboard allows you to tailor your workspace to your specific needs. With the ability to toggle various widgets on and off, as well as rearrange them according to priority, you can fine-tune your dashboard to focus on what matters most at any given time. This flexibility ensures that you maintain a laser-like focus on key metrics, tasks, or objectives, further enhancing your productivity and streamlining your workflow.
Keap Pro/Max comes with a mobile app that lets you add contacts and companies on the go as well as access customer info. You can easily manage tasks and appointments and apply notes and tags to contacts, ensuring they move through your automations seamlessly.
Use the app to receive mobile reminders and alerts so you never miss important dates and activities. The Keap mobile app ensures you and your customers have a winning experience.

Once you’ve successfully downloaded the app, it’s time to open it and log in:
Enter the same email address you use to log in to the website.Complete the security check, enter your password, and tap the Log in button.If you have been working primarily from your inbox, allow Keap to import your contacts.Figure 1.5 – Mobile app login screen
If you have more than one account associated with Keap, you can access all of them after you log in:
Enter your username and password.Tap the Log in button and you will reach a screen showing all of your available apps.Scroll through and select an app. You have access to your business line, contacts, and tasks and can update your settings.For a more expansive tutorial on the app, click the question mark icon in the top-right corner of the home screen.
