Introduction

Welcome to Outlook. This book is intended to people who wants to enhance their skills with Microsoft Outlook, the mail application widely used in companies and private individuals. This messaging system is part of the Office suite that evolves continuously. For the writing of this book, I used Outlook 2019 with Windows.

Outlook can provide numerous resources to improve your daily work. Mail processing can be better organized with several folders and sub-folders. The messages can be displayed with a color according to a condition. For instance, mails can be seen in a specific color for a specific person.

One can find information thanks to sophisticated search facilities. The information can be transferred to other applications such as contacts, tasks or calendar.

Outlook is structured with six main parts: the mails, the contacts, the calendar, the tasks, the notes and the general settings. Data can be exchanged between these parts using the drag and drop mechanism. For instance, when someone's message arrives in your inbox, you can drag and drop it directly into contacts, to automatically retrieve their email address and other information.

This book is divided in 6 chapters.

Chapter 1 deals with the contacts and the different ways to work with. You will be able to create and modify the information. The different views, especially in list form can make your job easier.

You will learn how to create several groups of contacts to facilitate the subsequent sending of emails.

Chapter 2 outlines the mail layouts. You will see various operating modes to receive and send messages. The flags will show you how to create tasks automatically. The rules will enable you to trigger actions when receiving or sending mails.

Chapter 3 explains the concept of forms that allow you to enter and modify information in a different layout than the standard one.

Chapter 4 details the features of the calendar with the different presentations. You will discover how to create appointments or meeting requests with personal schedules.

Chapter 5 describes the creation of tasks and notes.

Chapter 6 provides an overview of the Outlook options.

Chapter 1 Outlook Environment

The Outlook working environment enables you to manage the contacts, the Emails, the tasks, the calendar, the folders and lots of features that enhance your daily work. The first important item is the contacts called People in the bottom menu. Sometimes, this menu may be compacted. We will see further how to change it.

1.1 The main folders

The Home menu is the main one where you can view the different available folders. For each account, Outlook provides several folders by default: Inbox, Drafts, Sent Items, Deleted Items, Junk Email, Outbox, RSS Feeds, and Search Folders. Other folders can be created. Each folder has properties that you can study thanks to the right-click.

Figure 1.1 shows this working environment. If you need to manage Emails, click on Mail on the bottom menu.

The list below describes the different options available in this bottom menu:

Mail. It is the Emails management feature.Calendar. It is the classical calendar where you enter appointments. Data can be organized with color and Emails can be dragged into the calendar. Appointments are available in a multi-user's environment thanks to Microsoft Exchange.People.
